While gathering information about the people who use this website, we take your privacy very seriously and make every effort to safeguard your personal data. This privacy policy is intended to inform you of what information we collect, how this information is used, who else receives it and what steps we take to protect it. When visiting a third-party site from this website, we do not control the privacy policies of other parties, so please check before browsing on those sites to ensure you agree with their terms.

What information we collect

We collect two kinds of information:

Personal information that you directly provide to us, such as if you contact us directly, or information you may supply when you sign up for our newsletter, for example.

Website usage information that’s automatically gathered - if you have given your consent - via the use of cookies, as you use our sites, which includes tracking information for site usage analytics.

How this website uses Cookies

There are three categories of cookies used by this website:

Strictly necessary cookies - these are essential to the operation of this website. There is exactly one: a first-party cookie named ludic_consent, which records the choice you make about the other two categories. It stores nothing else, is not shared with anyone, and expires after approximately six months, at which point we ask again.

Analytics cookies - these help us understand how the site is used. They are only set with your prior consent.

Marketing cookies - these support our advertising, our mailing list and our customer relationship management, and allow the companies named below to recognise your device. They are only set with your prior consent.

No optional cookie is set before you choose, and nothing is pre-ticked. You are given the option to allow or refuse each optional category before anything is activated. Your preferences can be reviewed and changed at any time by clicking the Cookie preferences link, that can be found at the bottom of each page on this site. If you withdraw a consent you previously gave, the page reloads so that the scripts concerned stop running immediately.

The third parties that receive data

If, and only if, you consent to the relevant category, the following services load on this website and may set their own cookies and receive information about your visit. Each is an independent controller or processor of that data and handles it under its own privacy policy.

We use Google Consent Mode, which instructs Google’s tags to store nothing for advertising purposes until you have granted marketing consent.

One exception is worth stating plainly. The enquiry form on our contact page is provided by HubSpot, and the code that displays it loads whether or not you have accepted marketing cookies - otherwise the page would show no form at all and you would have no way to reach us. That code renders the form; the separate HubSpot tracking script, which follows visits across the site, is only loaded with marketing consent like everything else in the table above.

Tracking website usage

If you have given your consent, the services above may record non-personal information about the computer, mobile device or other device you use to access this website, such as IP address, geolocation information, device type, screen size, browser type, browser language and other transactional information.

This type of information relates to how many views are associated with our content. We perform statistical analysis of users of the site and their viewing and engagement patterns to improve accessibility of our content.

How we use any information we collect

We use your information for the limited purposes described in this policy. We do not sell it. Beyond the services named above, and any supplier acting on our instructions, we do not transmit or provide it to third parties. Specific uses are defined below:

Providing requested services

We may use the information that we collect to fulfill your requests for services and information. For example, using your contact information to respond to your contact requests.

Communication

We also use the information we collect to send email newsletters or information about our products and services (if you have opted in for this information). We may also use the information that we collect for ongoing customer relationship management.

When permitted

In addition to the uses identified above, we may use the information that we collect for any other purposes disclosed to you at the time we collect your information or pursuant to your consent.

Our legal basis

Where we place optional cookies or load the third-party services listed above, our legal basis is your consent, which you can withdraw at any time. Where you contact us, our legal basis is our legitimate interest in responding to you and in managing our relationship with our clients and contacts. Where you join our mailing list, our legal basis is your consent.

How long we keep it

The ludic_consent cookie lasts approximately six months. Enquiries and correspondence are kept for as long as we need them to deal with your enquiry and to manage our ongoing relationship with you, and are reviewed periodically. Mailing list records are kept until you unsubscribe. The services named above apply their own retention periods, set out in their own policies.

Where your data goes

Some of the services above are provided by companies based outside the United Kingdom, including in the United States. Where personal data is transferred outside the UK, those transfers rely on the safeguards set out in the provider’s own terms, such as the UK International Data Transfer Agreement or an adequacy decision.

Steps we take to protect your privacy

To prevent unauthorized access, maintain data accuracy and ensure the appropriate use of information, we put in place commercially reasonable physical, technical and administrative controls to protect any and all information we collect. Please note that no method of transmission over the internet is 100% secure.

Your rights regarding any personal data we collect

Under UK data protection law you have the right to ask us for a copy of the personal data we hold about you, to have it corrected or erased, to restrict or object to how we use it, to receive it in a portable form, and to withdraw any consent you have given. Withdrawing consent does not affect anything we did lawfully before you withdrew it.

To exercise any of these rights, contact us at info@ludicgroup.com. Please note that we may ask you to verify your identity before responding to such requests. If you make a request, we will do our upmost to respond to you as soon as possible, and in any event within one month.

If you are not satisfied with how we have handled your personal data, you have the right to complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113.

Changes to this privacy policy

This privacy policy may be amended from time to time. When the policy is updated, the date of the last update will appear at the top of the privacy policy. If we make material changes, you will be notified here for a period of 30-60 days based on our last update.
